Managing Templates

Every template in the library carries the same three actions: Edit, Duplicate and Delete. They are available to Campaign Managers, Admins and Org Admins. Campaigners work with templates only inside a campaign and cannot change the library, so a Campaigner who needs a template altered should ask a Campaign Manager.

Editing

Edit opens the template in the editor for its channel, with the saved content loaded. Change the name, description, content, sender or attachments, then save.

Saved changes apply to the library copy. Campaigns that use the template show the new content the next time they are opened, and any run created from then on sends it. Runs that already exist keep their own copy of the template and are not affected, so an edit never rewrites work that is already scheduled or sending.

Duplicating

Duplicate is the quickest way to produce a variant of an existing message. It opens the editor for the template's channel with everything prefilled from the original, and the name set to "Copy of" the original name.

Rename the copy to something meaningful before saving. Nothing is added to the library until the copy is saved, so a duplicate opened and closed again leaves the library as it was.

Deleting

Delete asks for confirmation before removing the template. An email template with attachments warns about those files separately.

Deleting a template removes it from the library. It cannot be recovered, so a template you may want later is better duplicated and archived by name than deleted.

What Happens to Campaigns Using It

A campaign that already points at a deleted template is not broken outright, but it can no longer be saved.

  • The campaign wizard still loads and displays the template, so the content is visible and a campaigner can see what the campaign was set up to send.
  • The campaign cannot be saved while it points at a template that no longer exists. Choose another saved template, or build one in the campaign, before saving anything else on it.
  • Runs continue to work. A run keeps its own copy of the template it was created with, so a scheduled or in progress run sends exactly what it was created with.

Check which campaigns use a template before deleting it. The campaign keeps running, but nobody can edit it again until it is pointed at a template that exists.
