Roles and Permissions

Common questions about who can do what in Outreach.

What Roles Can Use Outreach?

Campaigner, Campaign Manager, Admin and Org Admin. All four can build and run campaigns. Operations users cannot: Outreach is not visible in their sidebar. The capability summary sets out every permission line by line.

What Is a Campaign Manager?

The role that owns the material campaigns are built from. A Campaign Manager can do everything a Campaigner can, and additionally manages contacts, fields, segments, templates and brands. See Campaign Manager.

Campaigner or Campaign Manager: Which Should Someone Have?

Campaigner for the person who sends the messages, Campaign Manager for the person who curates what they send to and with. A Campaigner can still select a segment, apply a saved template, and view brands and apply one to a template they build in a campaign, but cannot create or change any of them. See Campaigner.

Can a Campaigner Refresh a Segment?

Yes. Refreshing is not restricted by role, and a Campaigner triggers one from the audience summary on a campaign or a run. What a Campaigner cannot do is open the segment page in Contacts, or build, edit or delete a segment. See Who can refresh.

Can a Campaigner See Who a Run Is Sending To?

Yes. The view audience link on a run opens its audience page, which lists the contacts behind that run, and it is open to every role that can see the campaign. It appears for the All Contacts and Segment sources, since a run built from an uploaded file lists its recipients in the messages table. See The audience page.

What's the Difference Between a Campaign Manager and an Admin?

Nothing inside Outreach: their permissions there are identical. An Admin also administers the organisation's users and their roles, which a Campaign Manager does not. See Admin.

What's the Difference Between Admin and Org Admin?

Settings. An Org Admin owns everything deciding how messages can be sent: product access, the Twilio and SendGrid credentials, the SMS sender strategy and its sender list, and verified domains and email senders. An Admin can reach none of it. See Org Admin.

Why Can't I See Contacts, Fields, Templates or Brands?

Because you hold the Campaigner role, which shows Campaigns and no sub navigation. Segments, saved templates and brands are still reachable from inside a campaign. See What Each Role Sees.

Can a Campaigner Access Settings?

No, and neither can an Admin or a Campaign Manager. Settings is Org Admin only, so a missing channel, sender or domain has to be fixed by an Org Admin.

Who Can Edit a Custom Field?

Nobody. A custom field's name and type are fixed when it is created, whatever role you hold. See Custom Fields.

How Do I Add a User or Change Someone's Role?

In the user management area of the NeonNow Admin app rather than in Outreach, and it needs the Admin or Org Admin role. See Roles and Permissions.
